Acceptable Use Policy

1. Purpose

This Acceptable Use Policy (“AUP”) ensures fair, secure, and responsible use of the MandateMind AI platform, including all AI features, evidence processing, and storage services.

2. Prohibited Activities

Users may not:

• Upload malicious, harmful, or intentionally corrupted files.
• Attempt unauthorized access to MandateMind systems or other tenant environments.
• Use automated scripts or tools to artificially inflate AI usage or API calls.
• Reverse‑engineer, probe, or test platform security without written authorization.
• Use MandateMind to process illegal content or content unrelated to compliance activities.

3. Evidence Restrictions

Users must ensure that uploaded evidence:

• Is lawful, accurate, and relevant to compliance or audit activities.
• Does not contain unnecessary sensitive personal data (e.g., SSNs, PHI) unless required for compliance.
• Does not violate confidentiality obligations or third‑party rights.

4. Fair‑Use Limits (AI & Storage)

All MandateMind plans include fair‑use limits for AI processing and evidence storage. These limits ensure platform stability and prevent excessive usage that may impact other tenants.

• AI features (evidence scoring, narrative generation, gap detection) are subject to fair‑use thresholds.
• Evidence storage is subject to fair‑use quotas based on plan tier.
• Excessive or abnormal usage may trigger soft warnings, temporary rate‑limiting, or overage billing.
• MandateMind may request plan upgrades for sustained high‑volume usage.

5. Evidence Retention & Storage

To maintain performance and control infrastructure costs:

• Evidence may be automatically archived or deleted based on retention settings.
• Cold storage or extended retention may incur additional fees.
• Users are responsible for exporting or backing up evidence before deletion.

6. Security Obligations

Users must:

• Maintain secure passwords and protect account access.
• Use MFA where available.
• Notify MandateMind immediately of any suspected unauthorized access.

7. Platform Integrity

Users may not:

• Interfere with platform performance or stability.
• Attempt to bypass usage limits, retention policies, or billing mechanisms.
• Use MandateMind in a manner that degrades service for other tenants.

8. Enforcement

MandateMind may suspend or terminate accounts that violate this AUP. Repeated or severe violations may result in immediate termination. Overage fees may apply for excessive usage.

9. Changes to This Policy

MandateMind may update this AUP periodically. Continued use of the platform constitutes acceptance of the latest version.
